We’re looking for a Production Coordinator to keep the day-to-day work of our Production team organized and moving forward. You’ll maintain product documentation, development trackers, ERP records, and shared files, while following up on tasks and deadlines across Production, Quality, and Sourcing. Based at our Vilnius head office, you’ll work closely with the Head of Production and help coordinate information between the team in Vilnius and our production hub in Sri Lanka. This role suits someone who enjoys bringing structure to a busy environment, pays attention to detail, and takes ownership of the practical tasks that help a global production process run smoothly.
Key Responsibilities

Maintain and update cross-development tracking for products already in production: tech sheets, development timelines, sample pack collection, and support with price-negotiation documentation.

Prepare cross-development research briefs to support the Sourcing Manager.

Administer day-to-day ERP system tasks (data entry, updates, corrections), excluding new product setup, which remains with the Head of Production.

Maintain and organize the shared drive system: folder structure, file naming, and access management across the Production department.

Provide backup support to the Quality department when workload requires it, sample tracking, documentation preparation, and administrative follow-up (not independent quality decision-making).

Complete ad hoc tasks and projects delegated directly by the Head of Production.

Coordinate daily administrative tasks for the Production team at the head office in Vilnius.

Act as an administrative point of contact between the head office and the Sri Lanka production hub, following up on open items and documentation requests.

Track and follow up on open action items across Production, Quality, and Sourcing to help ensure deadlines are met.

Support meeting preparation, note-taking, and reporting for the Head of Production.

Maintain accurate and up-to-date records across cross-development, ERP, and shared systems.
What We’re Looking For

Experience in production coordination, administration, or operations, ideally in apparel or manufacturing. Experience with ERP systems is an advantage.

Strong spreadsheet skills and the ability to work with tech packs, bills of materials (BOMs), and product development timelines.

Excellent organization and attention to detail, including accurate record keeping across the systems, tracking sheets, and shared files.

Ability to prioritize several tasks and deadlines across departments, take ownership croof open items, and follow them through to completion.

Clear communication skills and professional working proficiency in English, including written communication with international suppliers and the Sri Lanka hub.

A collaborative and flexible approach to working with Product Development, Sourcing, Quality, Warehouse, and Production teams.

Ability to work from the head office in Vilnius.
